North Cumbria contract monitoring in 2018/19; returns due and general contracting information.
Pharmacies are reminded that under the NHS (Pharmaceutical and Local Pharmaceutical Services) Regulations 2013, the following items are required to be returned to NHS England, and should be submitted electronically by pharmacies to ENGLAND.Pharmacyandoptometry@nhs.net

Annual Supporting Documents – 2018/2019 reporting
Can you please ensure that when returning the following documents that they contain your pharmacy name, ODS Code (pharmacy F’Code as used on FP34C), and/or your address so that we are able to identify you.
- Pharmacy Clinical based Audit – this should be a summary of findings from your annual pharmacy audit completed during a period between 1 April 2018 and 31 March 2019. This summary should include details of any implications that the audit may have had for the pharmacy.
- Annual Complaints Report – returns should be made using the usual template, reporting any complaints received between 1 April 2018 and 31 March 2019. Where this is a nil return, a submission is still needed however an email can be sent to this effect rather than completing the template.
These should be returned at the end of the 2018/19 financial year, no later than 31 May 2019.
Please note that returns are currently being submitted for the current financial year 2017/18, as the deadline for this is not until 31 May 2018.
Also to note, all pharmacies are required to have a patient and public involvement programme as detailed in the NHS (Pharmaceutical and Local Pharmaceutical Services) Regulations 2013, which includes;
- a practice leaflet containing approved particulars in respect of pharmacy premises. These approved particulars have recently been updated details can be found here; https://www.england.nhs.uk/commissioning/primary-care/pharmacy/pharmacy-resources/ ;
Please note that NHS England, will not require evidence of this leaflet to be submitted, however pharmacies should ensure this is available within branch upon request
- an approved patient satisfaction survey carried out annually, in an approved manner. The results of the survey must be published via one or more of the following options:
- a) in the pharmacy, as a leaflet or poster;
- b) on the pharmacy’s website;
- c) on the pharmacy’s NHS Choices profile – please note this option is a requirement for Quality Payments.
2018/19 NHS England Audit
As you know there was no national audit set by NHS England in 2016/17 or 2017/18. We will provide details of the 2018/19 audit as soon as this information is shared from the NHS England national team.

Monthly Returns Responsible Pharmacist Log (100 hour pharmacies only)

This monthly reporting template should be submitted 10 working days following month end. Again, can you please ensure that your pharmacy name, ODS Code, and/or your address are recorded on the form in order for NHS England to identify you.
Notice of Temporary Closures
NHS England appreciate that there may be occasions where you are unable to open in line with agreed opening hours for reasons beyond your control (such as utilities interruption, flooding or fire). In these circumstances the Terms of Service require that you notify us and use all reasonable endeavours to resume service provision as soon as is practicable. Conducting MURs off the Pharmacy Premises
Although the MUR service is designed to be provided in the pharmacy, it is possible to conduct MURs in other venues. In order to do this, contractors can use the PREM2 application forms from the PSNC website to submit an application;
Please ensure a PREM2 application form is submitted prior to conducting the MUR. Please note that before we can consider an application we must have received a copy of both your MUR and DBS Certificates.

A schedule has been included for reference that lists specific deadline dates for these returns. Can you please ensure each of these are noted by your pharmacy, and returned within relevant time frames.
Failure to submit these documents in a timely manner may result in contract sanctions such as remedial notice or breach
NHS England, require information with regard to your Bank Holiday Opening intentions, to ensure there is adequate pharmaceutical provision across North Cumbria and the North East. The information you provide is utilised to assess any gaps in pharmaceutical provision, with a view to commissioning pharmacies to provide additional services where they may be limited. The accuracy and timeliness of this information is very important. Can you please ensure that when requested, you provide accurate information with regards to your opening hours during bank holidays, as per requirement; NHS (Pharmaceutical and Local Pharmaceutical Services) Regulations 2013, 35 (1) (b) (i).
